Course states

To support the processes and control access rights in the various phases of course planning, instances of courses have a state (alternatively referred to as a status). There are eight different states:

In the following the states are explained:

(Abbreviations: ED - Executive Director).

1) Vorläufig / Tentative

A new event instance created from a template is initially in this state.

  • The data is usually not yet complete and can all be edited.
  • Instructors and secretaries can set the state to Processed.
  • The course instances can still be deleted.

2) Bearbeitet / Edited

Signals to the institute council or the ED that all data of the event instance has been checked for completeness and correctness.

  • All data can still be edited.
  • The state can be set back to Preliminary.
  • The DG can set the status to Frozen.
  • The LV instances can still be deleted.

3) Eingefroren / Frozen

The course is marked for an exam by the institute council.

  • The course instances can no longer be deleted, but can only be set to Canceled.
  • Secretaries and lecturers can only edit the texts and the scheduling.
  • All other data (including status) can only be changed by the DG or the department admins.

4) Genehmigt / Approved

The institute council has checked and approved the event and its data.

  • The LV instances can no longer be deleted, but can only be set to Canceled.
  • Secretaries and lecturers can only edit the texts and the scheduling.
  • All other data (including status) can only be changed by the DG or the department admins.

5) Scheduling

The scheduler currently calculates the time and room planning.

  • The course instances can no longer be deleted, but can only be set to Canceled.
  • Secretaries and lecturers can only edit the texts.
  • Changes to the scheduling preferences are possible (for example in case of conflicts) by the department admins.
  • All other data (including status) can only be changed by the DG or department admin.

6) Publiziert / Published

The data can be transferred to any other system.

  • Only the texts may still be edited by lecturers and secretaries.
  • All other data can only be edited by the department admins.

Note: Manual room reservations may only be used for courses that have the status Published or in CM.

7) Abgesagt / Cancelled

The course has been canceled.

8) in CM

This is the final status of all courses, i.e. after all data has been imported into Campus Management and registrations have been activated for students.

  • In this state, no more data and information may be changed (not even the texts).

Note: the manual room reservation may only be used for courses that have the status Published or in CM.
